EXECUTIVE ASSISTANT TO MARKET PRESIDENT

Primary Responsibilities:

  • Managing calendar for Market President
  • Making effective phone calls to Executive Assistants of other Phoenix companies to build relationships that result in new appointments for the Market President
  • Preparing marketing proposals and research projects
  • Supervising and manage front desk employees responsible for assisting customers and listeners

 

Other Duties, including but not limited to:

  • Work with finance department on P&L
  • Work with programming department to manage the record label database
  • Work with human resources department EEO file
  • Work with engineering department to update the public file and to provide FCC deliverables
  • Work with sales department as a backup to the executive assistant to the VP of Sales

              

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to work well with office management and staff, external professionals and vendors in an office setting

The Executive Assistant is responsible for supporting our highly productive VP of Sales, helping them to maximize revenue opportunities by assisting with various administrative tasks. This position requires superior communication skills and attention to detail as well as exceptional customer service abilities. Must possess strong multi-tasking and organizational skills, and the ability to work effectively under pressure while meeting deadlines and prioritizing tasks.

Role Responsibilities:

  • Manage Key Account Coordinators and Sales Assistants
  • Works collaboratively with the VP of Sales to carry out support tasks
  • Prepare sales proposals, perform basic research, and support key sales and promotional events.
  • Assist staff with sponsorship proposals and recaps.
  • Generate contract confirmations and invoices and assist with revisions.
  • Submit weekly affidavits
  • Prepares and submits monthly expense reports
  • Coordinates planning, scheduling, and hosting of high-level visitors
  • Assists in preparation of financial and administrative reports
  • Generating and preparing reports for managers
  • Attend and contribute to weekly Sales meeting
  • Prepare, edit and finalized sales presentations, type and proofread memos, letters and copy
  • Provide assistance to staff regarding various software programs
  • Complete other miscellaneous tasks as requested by the VP of Sales and/or Managers

Required Skills

Communication Skills

  • Excellent oral and written communication skills.

Computer Applications Skills

The Integrated Media Account Executive is responsible for building relationships and selling Clear Channel assets as marketing solutions.  The role objective is to achieve revenue targets and services goals while helping clients meet key business challenges.  Successful candidates must be motivated, enthusiastic, self-starters who are able to work effectively both independently and in a team environment.

Required Skills

  • Must be versatile and willing to assist sister stations in the Clear Channel Cluster as needed.

  • At least minimal knowledge of automation systems, such as NexGen.

  • Monitor and update weather, traffic and news reports into automation equipment.
